Can your repairs service evidence every step?

Can your repairs service evidence every step

By Lisa Gascoyne, Lead Product Manager, Government & Housing

A resident reports damp and mould. An inspection is arranged, follow-on works are raised, and the repair is completed. Six months later, a complaint lands on your desk. Can you quickly show what happened, when it happened and why?

Housing providers have always needed good records, but the ability to evidence repairs has never been more important. As organisations prepare for Awaab’s Law – and other regulatory updates across the UK – and face increasing scrutiny from residents, regulators and boards, it’s no longer enough to know a repair was completed. Providers need confidence they can demonstrate what happened throughout the entire process.

That can be easier said than done. When a complaint is raised months after a repair, information is often spread across multiple systems, emails, contractor records and spreadsheets. Teams may know the right decisions were made at the right time but proving it can become a frustrating exercise in piecing together a timeline.

For many organisations, the challenge starts at the point a repair is reported. Was the issue diagnosed correctly? Was the right priority assigned? Were any resident vulnerabilities identified and taken into account? These decisions influence everything that follows and can make a significant difference to both resident outcomes and compliance.

Awaab’s Law places greater emphasis on responding to hazards within prescribed timescales, housing providers need a clear record of how reports were received, assessed and acted upon. The ability to evidence those actions is becoming just as important as the actions themselves.

Many housing providers are therefore looking at how information flows across the entire repairs journey. When diagnosis, scheduling, inspections, communications and completed works are connected, evidence is captured naturally as part of everyday processes. Managers gain greater visibility, residents receive more consistent communication, and organisations are better placed to respond to complaints, claims and regulatory enquiries.

NEC Housing helps providers connect every stage of the repairs journey in a single platform, from initial diagnosis through to completion and feedback. By bringing together repairs management, resident communication and reporting within a single platform, organisations can build a stronger audit trail while improving operational oversight and compliance readiness.

Ultimately, the question facing repairs teams is a simple one. If a resident, regulator or board member asks what happened during a repair journey, can you evidence every step?
