Overview

 

Our customer, a leading US based medical society with operations driven by over 200 active committees, wanted to upgrade their committee management system. Their goal was to build a robust, flexible, and intuitive application using Salesforce CRM to support the entire lifecycle of their committees. The new system needed to support complex workflows, legal compliance, and both internal and external user interactions.

Challenges

The customer faces the following challenges wih the existing system.

Handling Multiple Committees – Each committee had unique rules, nomination processes, and onboarding workflows. A flexible, configurable system was essential to accommodate this diversity

Legal and Contractual Compliance – Committee participation involved formal agreements. The system needed to support legally binding workflows, including notifications, acceptance of terms, and secure storage of signed documents.

Diverse User Base – The platform had to serve both internal staff and external participants, requiring an user friendly and accessible interface for all users.

Large-Scale Migration – With over 200 existing committees and historical data, the migration had to be seamless, ensuring no disruption to ongoing operations.

End-to-End Lifecycle Support – The client needed a single solution to manage the full committee lifecycle—from creation and nomination to onboarding, communication, and roster management.

Solutions

To address these challenges, we implemented a hybrid solution using Salesforce CRM and supporting technologies:

Salesforce CRM for Internal Operations – We leveraged Salesforce CRM to manage the full lifecycle of committees. It enabled administrative users with the following:

  • Enabled staff to create and manage various committee types.
  • Configured rule-based workflows for nominations, evaluations, and approvals.
  • Managed dynamic rosters with real-time updates.
  • Automated alerts and notifications throughout the committee lifecycle.

.NET Application for External Users – We developed a intuitive user interface for external participants to engage in nominations and evaluations.

DocuSign Integration – We integrated DocuSign to manage formal notifications and contractual acceptances ensuring legal compliance through secure document handling.

Salesforce Notifications & Mass Communication – To facilitate timely communication, we leveraged Salesforce’s built-in email and notification features to:

  • Send alerts about nomination deadlines, approvals
  • Conduct bulk mailing campaigns to committee members
  • Ensure all communication was tracked and logged

Data Migration & Seamless Transition – We executed a robust migration strategy to transfer all existing committee data into Salesforce ensuring seamless transition.
