Overview 

Our customer, a globally recognised scientific society relied on a legacy application to manage officer nominations data across diverse organisational units. This legacy system caused inefficiency in workflows due to unstructured data management and rigid workflows. We addressed this issue by leveraging Salesforce, enabling our customers with a centralized platform, modernized workflow and enhanced operational efficiency.   

Challenge  

The customer faced several technical and operational hurdles due to the old legacy system. Unstructured data, limited visibility and rigid workflow were the main challenges our customer came across.  

Data Fragmentation: Officer and committee data were stored in multiple systems, leading to errors due to duplication, inconsistencies and complexity in maintaining a single and unified view of records.  

Incomplete Structures: Several organisational units like committees, regions and local sections lacked structured maintenance and representation of data in the legacy system, limiting visibility and governance.  

XML Generation Using Multiple Stored Procedures: The legacy system relied on multiple database stored procedures to generate XML for third-party PDF creation. Any change in the XML structure required code modifications across these stored procedures, leading to high maintenance effort and increased dependency on technical teams.   

Lack of Access Control: The old system did not support persona-based access control, meaning all users had similar access levels, posing data security risks and restricted ability to tailor access based on roles.  

Codes Lacking agility in Legacy system: The yellow book system used more than 25 stored procedures (pre-written database commands) as a part of operations, leading to flexibility issues for future enhancements.  

Historical Data migration: The project involved migrating officer and committee data stored for past 40 years. Validating, cleaning and reconciling such a large volume of data was challenging.  

System Interoperability: The new salesforce systems needed to be seamlessly integrated, establishing smooth data exchange and communication between third party platforms like pdf generating vendors. Maintaining smooth data exchange during and after modernization required careful design, testing and integration planning.

Complete Data Migration: Our team with 20+ years of experience seamlessly migrated the historical data of over 40 years old. Our team meticulously performed several rounds of validation, reconciliation and testing to ensure data accuracy and reliability.   

Configurable XML Generation Utility: Our dynamic team replaced the manual XML generation process with developing a metadata driven XML generation utility within Salesforce. This tool allows admin or developers to modify these xml without modifying any code in future and can be handle with only configuration changes.  

Persona-based Access Control: Our team implemented role-based access control to ensure that users viewed and modified data relevant to their roles. This helped in enhancing data security and provided better governance and controlled data visibility.   

Elimination of Legacy Dependencies: Our experts replaced the stored procedures in the SQL server of legacy system with configurable XML solution in Salesforce. This simplified system maintenance and allowed the customer to make functional changes without code-level interventions.  

Seamless Third-party Integration: Our team leveraged JASON based API’s to have a seamless integration between third-party pdf generation vendors and Salesforce. This integration streamlined the process of generating and sharing pdf reports, allowing faster data exchange between the systems.
