Caerphilly County Borough Council chose NEC Document Management when they needed a new EDMS. They’ve found it easy to use and full of great features.

THE NEED FOR CHANGE

Revenues and benefits is a high-pressure department where slick processes are key. So when the workflow in their corporate EDM was no longer supported by the supplier, Caerphilly started their search.

Sean O’Donnell, Principal Officer for Council Tax and Non-Domestic Rates, explains:

“With more than 80 staff and a heavy workload, we needed a more sophisticated system than our corporate EDM supplier could provide. After a lengthy procurement process that looked at cost, functionality and ease of integration, we chose NEC Document Management.”

Caerphilly’s revenues and benefits team went live in May 2019.

“We knew NEC Document Management was delivering great things for other revenues and benefits teams, so it was definitely the right choice.”

MAXIMISING THE BENEFITS

The move from Caerphilly’s old EDM was seamless. All documents relating to the council’s 80,000 properties and 21,000 benefit claimants were transferred successfully. There was minimal down time too. Our system also offers real-time integration. This means it works perfectly with the council’s third party revenues and benefits solution.

To extend the benefits, the council upgraded to the latest version in January 2020. This means they can start using extra features. For example the new scanning module with its modern, easy to use interface. The team will also be looking at how to use Enterprise’s web-based interface to enable home working.
